What wasn'tworking.
Work was tracked across a shared spreadsheet, a WhatsApp group and a filing cabinet. Nobody could answer basic questions — which jobs are open, who is closest to a site, how long a repeat visit actually took — without calling three people. The cost was not the tooling; it was the hour a day spent reconstructing what had happened.
How weapproached it.
We spent the first week with the dispatch desk rather than in a design file, mapping the real sequence of a job from call to close, including the informal steps nobody had written down. That map became the data model. We shipped the dispatch view first, ran it alongside the spreadsheet for two weeks, then moved the technician workflow across once the desk trusted it.
What shipped.
Dispatch board
Drag-to-assign scheduling across engineers and days, with conflict and travel-time warnings surfaced before a job is committed.
Technician view
A deliberately minimal mobile interface: today's jobs, one-tap status changes, photo capture and notes that sync when signal returns.
Job history and audit trail
Every status change, note and reassignment is recorded against the job, making repeat-visit patterns visible for the first time.
Operations reporting
Completion rates, time-on-site and first-visit-fix figures, exportable for monthly review.
